Overview
The Multifamily Purchasing Agent is critical to the organization through achieving cost, capacity, competency, and cultural alignment standards for all internal and external suppliers while adhering to established supply chain principles and strategies.
Responsibilities
Ordering / Fulfillment (65%)
- Autonomously ensure that all purchase orders are generated and distributed per established guidelines in an effort to achieve no back ordered items
- Effectively manage backorder issues when they arise in order to fulfill production schedules with minimal labor variances and return trips due to product shortages
- Clearly communicate with vendors, production, and Purchasing on potential product shortages
- Correctly track and report supplier service level agreements
- Expertly ensure 100% fill on all expedited orders and all job site deliveries filled on schedule when agreed upon lead times are met
- Responsibly assist in inventory processes as assigned
- Systematically set up pea gravel and concrete vendors in new markets as needed
Cost (20%)
- Conscientiously supports and coordinates initial project pricing with pre-start coordinators
- Independently identify and implement new methods and materials that achieve cost savings without sacrificing quality or negatively impacting piece-rate structure and assist in the delivery of supply sources that deliver a compelling value
- Analytically compare costs and negotiate with potential suppliers within standard practices to achieve the best-case scenarios for the company
- Thoroughly complete accurate rollouts of new materials or suppliers and maintain master material pricing and quote databases
- Precisely check for accurate quantities and prices against purchase orders
Damage Materials / Returns (10%)
- Precisely track key material defects and work with purchasing to address issues with suppliers and manufacturers
- Efficiently facilitate and communicate returns with the warehouse and vendors regarding damages, warranties, and returns to receive credit for damaged or defective materials
Equipment Rentals (5%)
- Proactively develop relationships and negotiate prices with vendors for various equipment rentals
- Accurately set up delivery and return schedules for rented equipment
- Independently coordinate movement of company equipment for repairs and maintenance
Outside Subs (as needed)
- Conservatively source and schedule subs, such as core drillers, as needed

Critical Skills & Knowledge
- Clear, effective communications skills – both written and verbal
- Proactive development of successful vendor relationships and negotiation navigations
- Aptitude for critical thinking and problem-solving
- Preference for accuracy, attention to detail, and organization
- Basic mathematical ability including addition, subtraction, multiplication, and division
- Ability to use Great Plains; past experience a plus
- Proficient in using basic office equipment
- Mastery of entire Microsoft Suite plus Internet and email
- A high school diploma or GED is required, Associate or Bachelor degree preferred
- 4 years of purchasing experience
Working Conditions
- Well-lighted, heated and/or air-conditioned indoor office setting
- A moderately noisy environment with light traffic, office equipment, and guest entrance
- Sedentary physical activity performing non-strenuous daily activities of an administrative nature
- Capable of lifting up to 10 pounds
